This article describes how to access a workspace

One of Howspace’s design principles is one-click access. There is no need to remember another set of usernames and passwords to access your workspaces. This is why workspaces can be accessed through login links or registering, depending on the workspace settings. Login links

In most cases, the first login link to a workspace is sent through Howspace on behalf of the admin user. People who have already been invited can request a new login link from the workspace URL in case the email with the login link has gone missing. Then, depending on the workspace settings, users may also receive What’s new messages including the login link, i.e. if there is new content in the workspace (such as a chat comment, etc.). Messages can also be scheduled, for example new links to the workspace sent to users every Monday. There are also a few other ways to access the workspace in addition to this.

Login page

This login page can be used by anyone to access their open workspaces. If you have recently been logged in to a workspace with your browser you can access the latest workspace or your 'my workspaces'.

If your browser or device is not recognised you can login to your workspaces by entering your email address and requesting a login link. The login link will be to the most recently accessed workspace.

SSO (Single Sign-On)

Single sign-on (SSO) is a session and user authentication service that permits a user to use one set of login credentials - for example, a name and password - to access multiple applications. SSO can be used by enterprises, smaller organizations, and individuals to simplify the management of various usernames and passwords.

In Howspace, SSO functions as an alternative method to manage access to workspaces and the Main User Dashboard.

Howspace SSO works with all SAML2 and OpenID compatible identity providers such as:

  • G Suite

  • Entra ID

  • OneLogin

  • Okta

  • Shibboleth

Social login

Social Login allows users to log in to Howspace with different social accounts: Google, Microsoft, and Apple.

Passkeys

You can utilize your existing fingerprint or face ID to authenticate yourself and gain access to your workspace without needing a login link.

Anonymous login

My workspaces

Once you are logged in to one of your workspaces, you can switch to another workspace by clicking the action menu and choosing my workspaces. In this view, you can see all the workspaces you have access to with the email you are currently using.
