The new Howspace is a dynamic platform that connects and aligns individuals throughout their journey, encouraging high involvement and engagement, improved ways of working, and accelerated decision-making through interactive, real-time AI. Why are we building a whole new Howspace version?

Since our initial development starting in 2012, Howspace has evolved significantly. However, this evolution brought to light inconsistencies and accessibility challenges within our design due to iterative developments and an ageing codebase. In response, we are relaunching our platform to make it simpler, more modern, accessible, and easier to develop—addressing our customer's feedback that "Howspace used to be simple. It is not anymore."


Howspace is a transformative platform, what does it mean?

The platform connects people and organizations, adapts to any journey, and promotes limitless involvement by design, enabling sense-making and engagement supported by interactive, real-time AI.

Our customers experience unprecedented engagement rates, improved ways of working, higher success rates, better business outcomes, faster projects and more accurate decision-making with advanced AI insights, and lasting impact at the cultural level and future-proofed business.


What do we expect from this new era of Howspace?

This dual initiative marks a significant milestone for Howspace. By entering a new category as a transformative involvement platform and renewing our user interface, we are setting a new standard for engagement and involvement tools. We aim to adapt to the present and lead the way into the future, making Howspace synonymous with simplicity, innovation, and inclusivity. Together, we will unlock the full potential of engagement to transform organizations and the people within them.


Can an organization's Howspace admin decide to start using the new Howspace for some of their workspaces while simultaneously using the old Howspace for others?

Yes, the transition to the new Howspace interface can be managed on a per-workspace basis, allowing admins the flexibility to update individual workspaces to the new Howspace according to their preference or readiness. It's important to note that until October 2024, both the old and new user interfaces will be available for use across any workspace, providing time for admins to make the transition at their convenience.


What are the main considerations for deciding when it's the right time to switch to the new Howspace?

We suggest either testing or moving to the new version immediately after the launch. It's important to note that you do not need to switch all workspaces to the new UI at once; each workspace can be individually configured to use either the current or the new UI, according to your preference and readiness for the transition.

However, it's important to know that the Steps-function won't be available as is in the new Howspace. We loved the idea of steps but noticed that it is really complex feature to learn AND develop. This is why we have decided to replace Steps with Facilitated path. This feature is more similar to Path as we know it, except the facilitator defines when we are moving forward. We will be providing learning resources and support to our customers with workspaces utilizing steps to support the shift to facilitated path. Reach out to your CSM or support if you need help with this.


What are the most important actions or checks for me, as a Howspace admin, to perform when switching to the new Howspace?

As a Howspace admin, you should first test and see how the new UI looks. You may need to tweak the visual design of the workspaces to make sure everything looks good.


Are all the old workspaces, including archived workspaces available in the New Howspace?

Yes. All the workspaces are available normally in the new Howspace.


After switching to the new version, can we revert to the old version if we encounter any issues with the new one?

Yes, you can switch back to the old Howspace in the workspace settings. However, please note that this change will impact all users in the workspace. Instructions here!


How long can I continue using the old version of Howspace?

You can use the old version until the end of October 2024.


When will I be able to start using the new Howspace?

The New Howspace is now available for all Howspace customers.


What happens to the workspace visuals when switching to the new Howspace?

The visual settings from existing workspaces will transition to the new workspace view. For new workspaces, it will be necessary to adjust settings to align with your brand. This process ensures that each new workspace maintains a consistent and brand-specific appearance. Additionally, the feature "Copy visuals from another workspace" will be introduced, allowing for the easy transfer of visual styles between workspaces.

The biggest difference is that in new Howspace you can configure widget styles that reduce the need for manual visual tweaks on widget-level. Read more here!


What is the expected time commitment for our core team to transition our existing workspaces and templates to the new UI, and what resources are available to train our admins on using the new UI?

After the launch, we will offer weekly or bi-weekly training sessions in Finnish, Swedish, and English. The training is designed to be efficient, requiring less than one hour of your team's time.

Additionally, we will release self-paced learning courses in Academy workspace focused on "Learning the new HowspaceI" an "Workspace visuals and Accessibility in Howspace."


What are the steps to update my page and workspace templates to the new UI?

The process remains unchanged from before. This means that all workspaces, including page templates, can be customized with their own visual styles for both the old and the new UIs.


Are there any resources available that I can distribute to our organization's admin users for learning and support?

Yes, we provide a variety of resources to help your admins. These include access to a Academy workspace for self-paced learning, a series of webinars for interactive guidance, and a collection of articles in our help center for reference and further reading.


Will setting default workspace settings in the main user dashboard automatically apply these settings across all workspaces?

Default settings will only apply to newly created workspaces; they do not automatically update existing ones.


Will we need to implement any new obligatory settings in each workspace with the transition?

No, there are no new mandatory settings required for each workspace.
