AI credits

AI credits come with the AI Team add-on and are used in advanced AI features, such as the AI Coach and AI Builder. This article explains how credits work, how to keep an eye on them, and what happens when they run low.

What are AI credits?

AI credits work like a prepaid balance for AI. Each time someone uses an advanced AI feature, a small number of credits is taken from your balance.

Credits come with the AI Team add-on. They sit in one shared pool for your whole organisation, so there is no per-person or per-seat allowance. Anyone in any of your workspaces draws from the same pool. The AI Team add-on comes with a set annual amount of credits, and you can purchase more when needed.

Which features use credits?

These AI Team features use credits:

  • AI Coach: lets participants ask questions, reflect and test their understanding against your own programme content, at any time.

  • AI Builder: builds a complete workspace for you through a simple, chat-like interface.

As new advanced AI features are added, they will use the same credit pool.

How many credits does an action use?

It depends on how much the AI has to read and write. A short question to AI Coach uses very little. Building a large workspace with AI Builder uses much more.

Things that use more credits:

  • Long conversations, where the AI has a lot of messages to take into account

  • Large amounts of source material for the AI to work through

  • Building workspaces with many pages and large background context – AI Builder will let you know before it builds an unusually large plan, so you can go ahead or split it into smaller workspaces.

Checking your balance and usage

Main users can see the AI credits card in Account Manager -> Dashboard.

You will see a banner if you have a hard limit and you have surpassed it:

This is how the card looks otherwise:

The AI credits card shows:

  • How many credits you have left, and what share of your pool you have used

  • When your next credits expire

  • AI usage by feature: how credits were split between features over the last 30 days

  • Workspaces with most AI usage: the workspaces that used the most credits over the last 30 days

  • If you have a hard limit and have reached it, the card also shows a banner telling you that AI Team features are off.

Select View usage to see how many credits were used each month.

When credits expire

Credits are valid for a set period, usually one year, and the expiry date is agreed when you receive them. Unused credits do not carry over after that date.

If you have received credits more than once, each batch keeps its own expiry date. Howspace always uses the credits that expire soonest first, so you get the most out of every batch.

What happens when you run out?

That depends on whether or not your organisation has the hard limit turned on.

Hard limit off (default)

Hard limit on

When your pool reaches 100%

AI Team features keep working without interruption.

AI Team features stop working in all your workspaces.

Extra usage

Credits used beyond your balance are billed at your agreed overage rate.

No extra usage, so nothing extra is billed.

What you see

The dashboard shows how many credits you are over your balance.

The dashboard shows that the hard limit has been reached.

Getting going again

Any credits you add first cover what you went over.

AI Team features start working again as soon as credits are added.

Choose the hard limit if a fixed budget matters most. Leave it off if you would rather your participants never lose features mid-programme.

Getting more credits

To top up your pool, select Buy more credits on the AI credits card in Account Manager -> Dashboard or send a request via our Marketplace. New credits are added to the same shared pool and are ready to use right away.

If your organisation does not have AI Team yet, the AI credits card says "Get AI Team" instead.

Frequently asked questions

Do participants need their own credits?

No. Everyone in your organisation shares one pool, and participants never need to manage credits themselves.

Can I set a separate budget for each workspace?

Not at the moment. All workspaces share the same pool. You can see which workspaces use the most credits in Account Manager -> Dashboard.

Do archived workspaces still appear in usage figures?

Yes. Credits a workspace used before it was archived still count, and it is marked as archived in the list.

Do all Howspace AI features use credits?

No. Only the advanced AI features included in the AI Team add-on use credits. These features include the AI Coach and the AI Builder.

Who do I contact with questions about my credits?

If you simply want to buy more credits on top of your annual pool, you can do it via Account Manager -> Dashboard. If you want to increase your credit limit or enable/disable the hard limit, please send a request via our Marketplace
