Overview
Tags are keywords or labels used to help organize your content and make it easier to find. Main users can define a set of tags that can then be applied to training templates and individual trainings.
Once applied, tags serve two primary purposes: they allow users and admins to filter search results, and they enable main users to build dynamic, automated content sections on the Hub's front page.
Where to define and apply Tags
1. Defining Tags in Settings
Before tags can be used, they must be defined by a main user. You can add and manage your available tags by navigating to Hub admin view → Settings → General.
2. Applying Tags to Templates and Trainings
When creating a new training template or an individual training, you will find the tags field under the basic info section. Simply select the relevant keywords from your defined list. If a tag is added to a template, any new training created from that template will automatically inherit those tags.
How Tags enhance the Hub experience
Filtering and Search
As your Hub grows, participants and admins need quick ways to find relevant content. Tags can be used by both admins and end-users to filter search results. For example, a user looking specifically for leadership material could filter the training calendar using a "Leadership" tag to instantly hide unrelated courses.
Building a Dynamic Front Page
When customizing the front page, main users can choose which content blocks appear to users. Using tags, you can create dynamic sections that automatically pull in relevant content.
For example, you could create a Front Page section titled "Upcoming Marketing Workshops." By configuring this section to pull content based on the "Marketing" tag, any newly created training with that tag will automatically appear in this section.
Best Practices for Tag Management
Define your tags early: It is highly recommended to brainstorm and define your list of tags in the Hub settings before you start building out your templates and training content. Having your tags available from the start ensures they are seamlessly added during the creation process. While tags can be added to the system later, any existing templates and trainings will not have them retroactively applied. This means that an admin would have to go back and edit every existing training one by one to add the new tags.
Keep your tag list concise and standardized: Avoid creating duplicate or highly similar tags (e.g., having both "HR" and "Human Resources"). A concise, standardized list ensures that dynamic front page blocks pull all the correct content and that learners don't miss out on a training because they searched for a slightly different keyword.
Remember visibility rules: Keep in mind that tagging a training to appear dynamically on the front page does not override existing permissions. Users will still only see the tagged training if they have the required role or belong to the required group.
