1. Learn about the architecture
Before building, it helps to understand how the Hub is structured. One analogy you can use is to think of hub like a streaming platform:
The hub is the streaming platform itself, the visual portal where users find and consume their content.
Training templates are the series formats or show blueprints. They establish the repeatable details and settings for your content.
Trainings are the individual episodes or movies. These are the actual events or self-paced sessions that participants enroll in.
Roles & Groups act as your viewer profiles and subscription tiers. They act as filters that define exactly what content a user is allowed to access, or whether they have the administrative rights to upload and manage new shows
2. Tags, Roles, and Groups
A common mistake new admins make is to start building content before defining their organizational structure.
Define roles and groups early: roles (e.g., member, admin) define what permissions people have, while groups (e.g., sales division, marketing team) organize people into categories. Setting these up correctly from the start prevents rework later.
Define Tags early: In your hub settings, brainstorm and define your list of tags (e.g., "Leadership", "Marketing") before you start building out your training calendar. If you add tags later, existing trainings will not automatically update, and you will have to edit them one by one.
3. Content Creation
Leverage templates: No need to build the same training twice. Create a template for recurring events (like an "Onboarding" template) with preset descriptions, hours, and workspace settings. Every new training you spin up will inherit these details automatically.
Manage lifecycle with training statuses: You don't have to publish everything immediately. Use draft mode while building, make it public when ready, use unlisted for private invite-only events, and use archived to clean up your admin dashboard once the event is over.
4. Curating the learner experience
Use the custom front page: You can create front-page sections that automatically pull in any new training associated with a specific tag or a training based on a specific template.
Preview as a user: Because hub content visibility can be heavily customized based on a user's role, group, and completed qualifications, use the preview as a user button from the settings. This lets you simulate exactly what the portal looks like for any specific combination of criteria, ensuring you never accidentally hide vital content from the wrong group.
5. Features that might prove useful
Enrollment codes: By enabling Enrollment Codes. You can generate a simple code that users enter on the login page, which automatically enrolls them to the correct training and can even assign their role and group.
External sharing links: Need to send dietary restrictions to a caterer or a passenger list to a bus driver? Instead of downloading spreadsheets, use the participant sharing link feature inside a training. It generates a URL displaying an excel-style table with only the specific data columns you chose to share.
