How to export user-level data

This article explains how workspace admins can export user-level data - activity or a list of users - as an Excel file.

Steps to export

  1. Access the Workspace Manager

    • Open the Admin Menu.

    • Click on Workspace Manager.

  2. Navigate to the Users view

    • Open the "Users" view in the Workspace Manager.

  3. Select users

    • Check the box on the left side of the users you want to include in the file.

    • Alternatively, check the checkbox at the top of the table to select all users at once.

    • You can also use filtering options before selecting users.

  4. Export

    • Click Export at the bottom of the table.

    • Select export users or export user activity depending on what you need.

  5. Download the file

    • Once the export is complete, click the notification link to download the Excel file.

    • The file will now be saved to your device.

Note: you can also export the activity of a specific userlist on the Userlists tab in Workspace Manager from the "..." menu next to each userlist.

What’s included in the Export?

The exported list of users includes the following details (if available):

  • Basic user Information: Email addresses, first names, and last names.

  • Certification date if available.

  • Custom Profile Fields: Any additional profile information.

  • Mobile Phone Numbers.

  • User ID.

  • Possible External ID.

The user activity export file includes data of when users were last active in the workspace, when they were last active on each page of the workspace, as well as data on their activity in each Assignment, Super Chat, PDF, Video and Exam widget. Super Chats and Assignments show comments, Exam shows the points users received, PDF shows how many pages of the file users have gone through, and Video shows how much of it users watched as a percentage. Please note that video data is only available for videos that have been uploaded to the workspace.
