This article presents the standard, manual way to manage users. In addition, user deletion and anonymization can be automated (Read more in this article), and user management can also be automated through SCIM or remote source sync.
How to delete a user
There are a few different ways users can be deleted from workspaces:
Delete a user manually
Open Workspace Manager
Open the tab "Users"
Tick the box to the left of the user(s) you want to delete
Click the "delete" button that appears at the bottom of the page.
Note: You can use the checkboxes to select one, multiple, or all users (using the checkbox above the list), and delete them all at once.
Schedule user deletion
Open Workspace Manager
Open the tab "Users"
Open the "..." menu to the right of the user you want to delete
Click "Schedule user deletion"
Set a date and time
Save.
Note: You can only schedule one deletion at a time. To delete multiple users at once, use the Schedule deletion of userlist and its users feature presented below.
Schedule deletion of userlist and its users
Open Workspace Manager
Open the tab "Userlists"
Open the "..." menu to the right of the userlist you want to delete
Click "Schedule deletion of users"
Set a date and time
Save.
Note: This action will delete both the userlist and all users on it from the workspace at the date and time selected.
Delete users via Account Manager (main users only)
Open Account Manager
Go to workspace users
Search for the user you want to delete
Open the "..." menu to the right of the user you want to delete
Click "delete"
Note: This action will delete the user from all workspaces under your organization's Howspace account where they had a profile with the same email address.
What happens when a user is deleted?
When a user is deleted, they lose access to the workspace. On the workspace side, inputs such as chat comments and answers in Polls, Pulses and other widgets are retained, but export files do not include deleted users.
In workspace analytics, there is an option in the filter menu to include deleted users in analytics:
Note: When users are deleted, their connection to userlists is severed. In other words, if for example Pulse answers are filtered based on userlists, the data won't include deleted users. Users can be restored to the workspace, but they need to be added back to userlists manually.
Restoring a deleted user
Workspace admins can restore deleted users to the workspace. To restore a user,
Open Workspace Manager
Open the tab "Users"
Change the view to "Deleted"
Tick the box to the left of the user(s) you want to restore
Click the "Restore" button that appears at the bottom of the screen
How to anonymize a user
There are two ways to manually anonymize users: on workspace level, and main users can do it in Account Manager for all workspaces the user participated in. Anonymization can also be automated - read this article for more information.
Note: Anonymizing a user is permanent and cannot be undone.
Anonymizing users in a workspace
Open Workspace Manager
Open the tab "Users"
Change the view to "Deleted"
Tick the box to the left of the user(s) you want to anonymize
Click the "Anonymize" button that appears at the bottom of the screen
Anonymizing a user in Account Manager (main users only)
Open Account Manager
Go to workspace users
Open the view "deleted users"
Search for the user you want to delete
Open the "..." menu to the right of the user you want to delete
Click "anonymize"
Note: This action will anonymize the user in all workspaces under your organization's Howspace account where they had a profile with the same email address.
What happens when a deleted user is anonymized?
When a user is anonymized, all personal data (name, email, profile fields, profile picture) is removed. User input (chat comments, Poll/Pulse answers etc.) is retained, but in case comment author is visible, the name of the user will be removed.
