Automatic deletion and anonymization of users

This article explains how the automatic user deletion and anonymization process works.

Howspace has an optional process to automatically delete and anonymize users who have been inactive for a long time to help admins and main users keep track of who's actually visiting workspaces and to help manage your users, also helping with GDPR.

The option can be set on workspace level, and main users can also set an account-level default setting in Account Manager.

Automatic user deletion

You can set a grace period, i.e. the number of days after which users are deleted from the workspace unless they visit it during that time. The suggested default setting is 30 days, but it can be changed.

Setting up in a workspace

  1. Open Workspace Manager

  2. Go to settings -> privacy

  3. Enable "Delete inactive users automatically"

  4. Set the grace period

  5. Save.

Setting up in Account Manager

  1. Open Account Manager

  2. Go to settings -> Workspace default settings -> privacy

  3. Enable "Delete inactive users automatically"

  4. Set the grace period

  5. Save.

Automatic user anonymization

By enabling this option, you can automatize the anonymization of users who are deleted from your workspaces. Again, the suggested default setting is 30 days but you can change it to your liking.
