Overview - what is a qualification?

A qualification is granted to a user after they complete certain required trainings, which are always based on a training template. The qualification is added automatically to the user’s profile once the requirements are met.

Qualifications can have an expiration period, and to renew a qualification, the user must complete a defined number of additional training hours. Admins can adjust this hour requirement at any time.

Where to create and manage qualifications

Go to Hub administration → Qualifications

From there, admins can:

  • Create and edit qualifications

  • Choose which trainings are required

  • Set how long the qualification is valid

  • Define how many training hours are needed for renewal

  • Manually assign, update, or remove qualifications for users

  • Browse users have completed each qualification

What users see

Users can view their own qualifications on their profile page, alongside completed trainings.

At the time of writing this article (October 2025), users cannot view the requirements (such as which trainings or hours are needed) until the qualification has been completed.

How qualification renewal works

When configuring a qualification, administrators can define exactly when a renewal takes effect after a user completes their required training hours. The renewal logic can be toggled between two options:

  • When the current qualification expires: If a user finishes their required training hours early, the qualification will wait to renew until the exact expiry date of their current qualification. The new validity period begins seamlessly just as the old one ends, ensuring the user gets the full duration of both periods.

  • Immediately after the renewal requirement is completed: With this option, the qualification renews the exact moment the user meets the required training criteria. The new validity period begins right away, resetting their expiration clock from that day forward, regardless of how much time was left on their previous qualification.

This toggle gives you the flexibility to decide whether learners should maintain their original expiration cycle, or if their timeline should reset based entirely on when they complete their renewal.

Automated renewal reminders

To help learners keep their qualifications up to date, admins can configure automated email reminders. These emails notify users when their qualification is about to expire, or can be used to follow up after a qualification is achieved or renewed.

When creating or editing a qualification, you can set up multiple automated messages. The email content is completely free-form, allowing you to write your own personalized instructions, such as reminding users to complete their required renewal training hours.

You can configure different messages to send based on the following milestones:

  • After achievement: Scheduled to send after the user initially completes the qualification.

  • Before expiration: Scheduled to send before the qualification's expiry date.

  • After renewal: Scheduled to send after the user successfully completes their renewal requirements.

For each trigger, you have highly flexible scheduling options. Messages can be set to send immediately, or delayed by minutes, hours, days, weeks, or months.

Because you can configure several different messages for a single qualification, you can easily build a complete communication flow.
